Membership and pass software

Sell passes and memberships online and track every visit

Intrac's membership and pass software lets you set up pass types with a number of sessions, an expiry and a price, then sell them online or at the desk. Members pay member prices at the counter, and casual classes, facility visits and private lessons are redeemed against their pass.

Passes that don't live on a punch card

Paper cards and spreadsheets lose track of visits. Here's what changes when passes live in Intrac.

  • Multi-visit passes are paper cards that get lost, forgotten or stamped twice.
  • Expiry dates sit in a spreadsheet, so lapsed passes keep getting used.
  • Members have to remind staff they're owed a member price at the counter.
  • Lesson packages are tracked in a coach's notebook, so nobody else knows what's been used.
  • Passes are stored on each customer's record, and sessions are redeemed in Intrac instead of stamped.
  • Every pass has its own expiry, and customers see the valid-until date before they buy.
  • Members get their member price at the counter without having to ask for it.
  • Customers buy lesson packages online and use them when they book a private lesson.

At Learn to Swim Victoria, the large majority of enrolments and payments are self-managed online, and payments are made earlier than before.

How memberships and passes work in Intrac

Set up the pass once, then let customers buy, use and renew it.

  1. 01

    Create your pass types

Name each pass or membership, then set how many sessions it includes, how many days it lasts and what it costs. Memberships, multi-visit passes and lesson packages all start here.

  2. 02

    Let customers buy online

From your customer portal, customers pick who the pass is for, choose it from the list with its price and valid-until date, and pay at checkout.

  3. 03

    Redeem sessions as they're used

When a customer comes in for a casual class, a facility visit or a private lesson, the session is redeemed against their pass instead of paid for again.

  4. 04

    Renew when it's due

When a pass or membership expires, customers can renew it from your portal, choosing the same pass or a different one, and pay at checkout.

What you can sell and track

From casual class passes to coach lesson packs and club memberships.

Passes on the customer record

Every pass a customer holds sits on their record with its expiry date, and shows if it's on hold or unpaid. The front desk can check it before a casual class or court visit.

Member prices at the counter

Products carry a member price, and switching it on in a cash sale charges members the right amount.

Lesson packages by coach

Sell packs of private lessons, such as three or six sessions, for each coach and lesson length.

Shared lesson options

Set up packages for one, two or more players sharing a lesson, each at its own price.

Casual spots in classes

Let customers book a casual spot in a class without enrolling for the whole term.

Member court times

Set aside member court times on the schedule, so casual hirers book around them.

Pass reports

Pass reports sit one click from your pass setup, so you can check what's been sold without leaving the screen. Revenue and outstanding accounts reports fill in the rest of the picture.

Selling online at schools and clubs

Three businesses where customers buy and pay for what they need online.

Super Kids Sports

What is membership and pass software?

Membership and pass software sells memberships, multi-session passes and lesson packages, then tracks them as customers use them. Intrac's memberships and passes are part of its class & facility management system for sports facilities, schools and academies, so passes work with your classes, facility visits and private lessons.

What can I set for each pass type?

Each pass type has a name, a number of sessions, an expiry set in days and a cost. Customers see the price and valid-until date when they choose it online.

Can customers buy and renew passes online?

Yes. Customers buy a pass, membership or lesson package from your branded customer portal, choosing who in the family it's for, and renew it there when it expires.

Do members get different prices?

Yes. Products can carry a member price, and switching on member prices in a cash sale charges members their rate at the counter. Your standard prices stay in place for everyone else.

Can a pass be used for private lessons?

Yes. Lesson packages can be set up for each coach and lesson length, including shared lessons, and customers choose their package when they book a private lesson online.

How do I see which passes have been sold?

Use the pass reports, one click from your pass setup. Each customer's record also lists the passes they hold, with expiry dates and whether any are on hold or unpaid.
