Dance school management system

Run your studio's classes, troupes and term fees from one place

Intrac is a class & facility management system for dance schools. It runs the way a studio does: ballet, jazz, tap, hip hop and acro classes, audition-only troupes, solo coaching, adult casuals, make-ups, term fees, uniforms, teacher pay, the lot.

  • 50+ years in the game
  • Local support
  • Bank grade security

No more Sunday nights on studio admin

Four jobs that usually end up in a studio owner's inbox, and where they go in Intrac.

  • Hip hop is full again, and parents keep emailing to ask if a spot has opened.
  • Missed-class requests come by text, and you check your own rules before finding a make-up.
  • Term fees get chased one family at a time, with reminders from your personal email.
  • Uniform orders go on paper, and nobody knows how many size 8 leotards are left.
  • Classes stop at capacity, and families join the watch list online instead of emailing you.
  • Make-ups follow the notice and limits you set, and families book them into classes with room.
  • Outstanding term fees go through in one bulk run, and failed payments can carry a fee.
  • Leotards and shoes sell at the desk or in your online shop, and stock updates as they go.

Learn to Swim Victoria works by the term, much like a dance studio. The queue to re-enrol each term has gone, because enrolments now carry over with automatic notices and families book make-ups themselves.

A term at your studio

From setting up each class to inviting dancers back for the next one.

  1. 01

    Set ages and levels

Limit each class by age and level, so Tiny dancers only takes 4 to 6-year-olds in Kinder 2. Mark it open, renewals or closed, and choose whether it shows online.

  2. 02

    Link classes from your website

Point the Level 2 ballet button on your website straight at that class. Parents land on Saturday's times, see how many spots are left and enrol.

  3. 03

    Mark the roll in class

Teachers open Tuesday's 4 pm jazz class on their phone, mark the roll and add notes. They can assess a dancer's level in a click, and the family downloads the certificate.

  4. 04

    Invite families back

When Term 1 enrolments open, email the families in your junior classes from one template, inviting dancers back to their current classes. Send yourself a sample first, and anyone without email gets an SMS.

Term-based schools on Intrac

Baby music and learn-to-swim schools run terms, trials and make-ups much like a studio does. Here's how three of them use Intrac.

Einsteinz Music

Einsteinz Music families book trial classes, sign up for the term and swap sessions online, across every venue.

What is a dance school management system?

A dance school management system runs your studio's timetable, term enrolments, fees, make-ups and teacher rosters, and lets families enrol and pay online. Intrac is a class & facility management system with 50+ years in the game behind it, and studios use it for weekly classes, troupes, private lessons and uniform sales.

Can I charge pro-rata fees when a dancer starts mid-term?

Yes. The class fee is pro-rated to the classes left in the term, and the family sees that amount before they pay.

How are make-up classes handled?

Your way. Set the number of make-ups per term, the notice families give and any blackout days. Families mark the absence online and pick a class with space.

Can families enrol several children in different classes at once?

Yes. Every child sits on one family account. Parents pick the child for each enrolment, add as many classes as they need and pay for every class in one payment summary.

Can I run audition-only troupes that aren't on the public timetable?

Yes. Any class can be hidden from online enrolment or set to private link only. The families you've picked enrol through that link, and the class never shows on your public timetable.

Can teachers mark attendance on their phone?

Yes. Each teacher's phone has their own staff portal, where they mark dancers present or absent and add notes. Exam and troupe attendance stays on record.

Can I sell uniforms and shoes at the desk and online?

Yes. Sell uniforms, shoes and other products at the desk by barcode or on-screen selection, or list them in your online shop. Stock levels update as you sell.

How is Intrac priced for a dance studio?

Plans start at 1.95% of monthly revenue, with a $495 minimum each month, plus GST. You pay no setup fees, sign no lock-in contract, and get support, upgrades and changes as part of it.
