Customer portal software

Let customers book, renew and pay without calling you

Intrac's customer dashboard is a branded portal where your customers complete registrations, renewals, bookings and payments themselves. Parents manage the whole family from one login, on their phone or desktop, with your logo and colours on every screen.

Your front desk shouldn't be a call centre

If most of your phone calls are customers asking to book, renew or pay, here's what Intrac hands back to them.

  • Parents ring the front desk to enrol each child, one phone call at a time.
  • Renewals mean chasing every family by email and taking card details over the phone.
  • Customers ring to ask what they've booked and when, because they have no way to check.
  • Booking a court or a private lesson means calling during office hours and hoping someone answers.
  • Parents add their children to one family login and enrol each of them online.
  • Families renew their passes and memberships online and pay with a card they've saved.
  • Upcoming bookings sit on the dashboard the moment customers log in.
  • Customers pick a time on the booking grid and book a court or a lesson whenever suits them.

Parents enrol and pay online for Super Kids Sports programs across 3 locations. At check-in they get an email with a three-digit pickup code that staff verify at collection.

How the customer dashboard works

Your customers handle the everyday tasks, and your front desk gets its time back.

  1. 01

    Brand your dashboard

Add your logo, brand colour and header photo, then choose which tiles customers see first, such as classes, court hire, private lessons or holiday camps.

  2. 02

    Customers log in

Families log in with their family name and email or mobile. One login holds the parent and every child, each showing their level or current class.

  3. 03

    Book, enrol and pay

Customers choose who the booking is for, pick a class, court, lesson, competition or pass, and pay for everything together in one payment summary.

  4. 04

    Manage it from home

Afterwards, families check upcoming bookings, record absences, book make-ups, update their card and download assessment certificates, all from the same dashboard.

Everything customers do themselves

The jobs that used to need a phone call, handled from your customers' own dashboard.

Your brand on every screen

Your logo, brand colour and venue photo run through the whole dashboard, from login to checkout. Choose a light or dark look so it sits comfortably alongside your own website.

One login for the family

Parents add their children to the account, then book for any of them by tapping a name.

Upcoming bookings up front

Customers see their upcoming bookings as soon as they log in, next to quick links to book more.

Courts, lessons and classes

Book space hire on a live grid, choose a private lesson by instructor, or enrol in a class or holiday camp.

Competitions and passes

Join or create a team, check fixtures and the ladder, or buy and renew passes and memberships.

Works on phone and desktop

The same dashboard works on a phone at the school gate or a laptop at the kitchen table.

Checkout in one go

Everything in the cart is grouped by type in one payment summary, with any credits shown. Cards can be saved for next time, and a receipt arrives by email once payment goes through.

How families use it

Here's how three Intrac customers moved everyday enrolments and payments online.

Learn to Swim Victoria

Families no longer queue to renew enrolments each term. Enrolments roll over with automatic notices, and parents book their own make-up lessons.

What is a customer portal?

A customer portal lets customers manage their own bookings, enrolments and payments online. Intrac's customer dashboard is the branded portal in its class & facility management system for sports facilities, schools and academies, where families complete registrations, renewals, bookings and payments on their phone or desktop.

Can parents manage more than one child?

Yes. Parents add each child to their family account with their date of birth and any medical conditions, then choose who each booking is for. Every child shows their level or current class.

What can customers book?

Whatever you switch on: classes, holiday camps, space hire, private lessons, competitions, passes and memberships, gift certificates and shop products. Each one appears in the dashboard menu once it's turned on for your business.

Does it work on mobile?

Yes. The customer dashboard works on phones and desktops, with the same menus and booking screens on both, so families can book from the sideline or the couch.

Can I brand the dashboard?

Yes. Add your logo, brand colour and a header photo, and choose a light or dark look. Customers see your brand on every screen, from logging in to paying.

Can customers renew and pay online?

Yes. Customers renew passes and memberships, pay for bookings and update their card details from the dashboard. Payments are processed through PCI compliant payment systems, and receipts are emailed.

How do customers log in?

With their family name and their email or mobile number. New customers sign up from the same screen, and returning customers can choose to stay logged in on their own device.
