Saturday mornings at the pool are busy enough

Four jobs that fill a swim school's week, and how each one changes in Intrac.

  • Make-up requests come in by phone, text and at the counter, and someone has to find each one a spot.
  • Re-enrolment day means a queue at reception, and some classes still end up overbooked.
  • Assessment results live on a clipboard, and parents ring to ask if their child is moving up.
  • Casual teachers swap shifts by text, and payroll is hours added up from the roster by hand.
  • Families mark the absence and book their own make-up online, only into lessons with a spot free.
  • Enrolments roll into next term with a notice to every family, and class limits hold.
  • Teachers record skills poolside on their phone, and parents download the certificate from their dashboard.
  • Swap a teacher between classes in a click, and payroll runs straight from the roster.

Families at Learn to Swim Victoria used to queue to re-enrol before every term. Now terms roll over with automatic notices, and families enrol, pay and book their own make-ups online.

A term at your swim school

From setting up levels to assessment week and the next rollover.

  1. 01

    Set up levels and lanes

Add your levels, then set each class's lane, time, capacity, teacher and term. Baby classes, school-age levels and squads all sit on one colour-coded schedule.

  2. 02

    Let families enrol online

Parents see the classes for their child's level and the spots left, then enrol and pay in your branded dashboard. If a time is full, they join the watch list.

  3. 03

    Assess on the pool deck

In assessment week, teachers open their class on their phone, rate each skill and add a comment where it helps. Promote swimmers who are ready, and families see the result in their dashboard.

  4. 04

    Roll the term over

Run the rollover and enrolments carry into next term, with a notice to every family. Spots that open up can then be offered to families on the watch list.

What is a swim school management system?

A swim school management system runs the admin behind your lessons: levels, lanes, enrolments, make-ups, assessments, payments and teacher rosters. Intrac is a class & facility management system from people who've run sports facilities since 1980. Swim schools use it for term classes, baby classes, squads and private lessons.

Can families book their own make-up lessons?

Yes. You set the rules: how many make-ups each enrolment gets, how much notice families give and the cutoff for recording an absence. Families then book into lessons with spots left.

Do current families keep their spot at rollover?

Yes. The rollover carries every enrolment into next term and sends each family a notice, so swimmers stay in their class. Any places that free up can go to families on the watch list.

Can I set a different class size for each level?

Yes. Every class has its own capacity, so preschool can stop at four and school-age at six. Full classes show as full online, and families can join the watch list.

Can teachers record assessments on the pool deck?

Yes. Teachers rate skills and add comments in the staff portal on their phone. Families see progress and download certificates from their dashboard, and you promote the swimmers who are ready.

Can siblings share one family account?

Yes. One account holds the parents and every child, each with their own level, medical conditions and enrolments. Parents book for any child and pay at one checkout.

Can I message every family when the pool closes?

Yes. SMS or email every family in a class from its attendance screen. If a storm shuts the pool, the unplayable weather process credits every affected booking in that time window.

How much does Intrac cost for a swim school?

Pricing starts at 1.95% of your monthly revenue, with a $495 minimum per month, plus GST. Support, upgrades and changes come included, and there's no setup fee or lock-in contract.
