Academies, ranges and independent pros who run their lessons on Intrac

Because nobody turned pro to do the paperwork

When lessons sit in several diaries and vouchers sit in a drawer, the admin lands on whoever's at the counter. Here's how that changes.

  • Each coach keeps their own diary, so booking a lesson means ringing round or waiting for a reply.
  • Lesson packs live on paper cards, and nobody's quite sure how many lessons are left.
  • In December the counter writes out vouchers by hand between range customers.
  • Range, mini golf, lessons and the pro shop each take money their own way, and the day never adds up.
  • Every coach's lesson types, prices and free days sit in one system, and golfers book open times online.
  • Packs are bought online or at the counter, and each lesson booked comes off the golfer's pack.
  • Gift vouchers sell from your portal day and night, so Christmas buyers don't queue at the counter.
  • One counter sells the lot by barcode or on screen, and the day's sales are there before you lock up.

Each coach has their own lesson types and availability, and now every diary and price sits in one system. Golfers book lessons, packs and clinics online.

Your golf centre's week in Intrac

From the first lesson of the morning to locking up the pro shop, coaches and counter staff work from the same system.

  1. 01

    Set up coaches and bays

Add each coach with their lesson types, prices and the days they're available, then your bays and teaching areas. Junior terms, adult clinics and holiday camps sit on the same schedule.

  2. 02

    Golfers book and buy online

From your branded portal, golfers buy a lesson pack, redeem a voucher and pick a time with the coach they want. Parents enrol juniors in the same checkout.

  3. 03

    Coaches check their day

Each coach sees their lessons and clinics on their phone, marks the roll at junior clinics and adds a note after a private while the swing is still fresh.

  4. 04

    Close the counter

Range, mini golf, pro shop and café sales go through the one counter. Check the day's sales before you lock up, and run revenue reports when you want the bigger picture.

Vouchers with a personal note

Buyers add the recipient's name and their own message, so a lesson voucher is ready to go under the tree.

Shared lessons for friends

Set up lesson packages for one golfer, or for two, three or four friends sharing a coach, each at its own price.

Explore memberships and passes

Swap coaches, pay follows

A coach can't make the 3:30 junior clinic? Swap in another, and payroll follows the roster, so the right coach gets paid.

Explore class scheduling

Watch list for full squads

When the junior squad fills, add juniors to its watch list with a note, like prefers Thursdays, and see who's waiting.

What is a golf academy management system?

A golf academy management system books lessons with each coach, sells lesson packs and vouchers, enrols juniors in clinics and records what's been paid. Intrac is a class & facility management system, and at a golf centre it also runs the bays, the counter, rosters and coach pay.

Can each coach have their own lesson types, prices and availability?

Yes. Each coach gets their own lesson packages and prices, with availability set by date and their usual start and finish times. Golfers pick a coach online and see only that coach's free times.

Can we sell lesson packs and keep track of them?

Yes. Each pack has a set number of lessons, a price and an expiry in days. Every lesson is redeemed against it, and pass reports show what's been sold.

Can golfers buy gift vouchers online?

Yes. Sell them through your portal, on the phone or over the counter, for a dollar amount or a set product. Whoever receives one redeems it online with the two-part voucher code.

Can we run junior terms and school holiday clinics?

Yes. Junior classes and holiday camps share one timetable, each capped and restricted by age. Parents enrol and pay online, pick the camp days they need, and late starters pay a pro-rata fee.

Can the counter sell range, mini golf, shop and café items?

Yes. Set each item up as a product with a category, price and member price, then sell by barcode or on screen. Pro shop stock levels update in the same system.

Can range bays be booked online by the half hour?

Yes. Set your bays up as spaces, and golfers book them from your portal in 30-minute slots, choosing the date, bay and start time. The bay is held while they pay.

What will Intrac cost our golf centre?

Plans start from 1.95% of monthly revenue, plus GST, and never less than $495 a month. Ongoing support, upgrades and changes are covered, and you won't pay a setup fee or sign a lock-in contract.
