Less chasing, more teaching

The parts of a music school term that eat into your evenings, and how they run in Intrac.

  • A parent cancels an hour before the lesson, then wants a make-up in a week that's already full.
  • Term fees come in by cash, card and bank transfer, and nobody can say who's paid.
  • Re-enrolment means chasing every family before the end of term to see who's staying.
  • Teacher pay gets added up from paper rolls, with absences and swaps fixed by hand.
  • Families record absences before your cutoff and book make-ups online, only into lessons with room.
  • Families pay by card in your portal, and anything unpaid shows on their account.
  • Current students roll into next term with their place kept, and each family gets a branded notice.
  • Teachers mark the roll on their phone, and payroll works from the roster at each teacher's rates.

At Einsteinz Music, baby and toddler classes come with terms, trial classes and families who often need to swap sessions. Now families book trials, enrol for the term and swap classes online.

How a term runs at your music school

From planning the teaching week to the day a lesson pass runs out.

  1. 01

    Plan the teaching week

Check who's teaching what, in which studio, from drums to junior band. When a teacher calls in sick, the swap link hands their guitar class to someone free.

  2. 02

    Sign families up online

Parents set up a family account in your branded portal, entering each child's date of birth and medical notes and accepting your waiver. Then they're ready to book a trial.

  3. 03

    Mark each lesson

Teachers check their day on their phone and mark the roll as they go, so you know who turned up without ringing anyone.

  4. 04

    Renew lesson passes online

Adult learners on a lesson pass see when it has run out. They renew from your portal, keep the same pass or switch to another, and pay at checkout without calling the office.

What is a music school management system?

A music school management system looks after the lessons, classes, enrolments and fees of a music school or teaching studio. Intrac is a class & facility management system for sports facilities, schools and academies. Music schools use it for private and group lessons, make-ups, term rollover, teacher rosters and pay.

Can one system handle private lessons and group classes?

Yes. Group classes sit on your timetable, and families book private lessons from each teacher's free times. Both land on the teacher's roster and go through the same checkout.

How does Intrac handle missed lessons and make-ups?

Within limits you set. Choose how many make-ups a student gets each term and the notice needed, say 24 hours. Families record the absence in your portal, then pick a lesson with a free spot.

Can families pay term fees online?

Yes. Families pay by card in your branded portal, and a student who starts mid-term is charged only for the lessons left. Outstanding accounts can be processed in bulk.

Can I message every family in a class when a lesson is cancelled?

Yes. Send an SMS or email to everyone in the class from its attendance screen, or text the teachers. Each family's record keeps a history of every message.

Does teacher pay follow the lessons each teacher taught?

Yes. Lessons and classes sit on the roster with the teacher assigned, and payroll works from task-based rates. Teachers check their roster and pay on their phone.

Can I run lessons at several venues or schools?

Yes. Each venue keeps its own classes, fees and rules, all under one login. The Music Bus invoices centres or families, whichever is right, each term.

What does a music school pay for Intrac?

Plans start at 1.95% of your monthly revenue, with a minimum of $495 a month, plus GST. There are no setup fees or lock-in contracts, and ongoing support, upgrades and changes come with it.
