Gymnastics club management system

Full classes, a waitlist that moves and make-ups parents book themselves

Intrac is a class & facility management system for gymnastics clubs and academies. Every part of it is set up around how your club runs: kindy gym, rec classes, squads, assessment week, holiday programs, parties, open gym, coach rosters, fees, the lot.

Because the after-school rush is busy enough on its own

If your levels are on clipboards and the waitlist is in a spreadsheet, here's the difference.

  • Enrolments come in by phone, email and at the desk, and a rec class ends up over its ratio.
  • The week after assessments, parents ring to ask whether their child is moving up.
  • The waitlist is a spreadsheet, and filling a spot means ringing families one at a time.
  • A coach calls in sick at 3 pm and you're texting round for cover.
  • Each class closes at its capacity, whether parents enrol online or at the desk.
  • Coaches rate skills on the floor, and the certificate is waiting in each parent's dashboard.
  • Parents join the watch list online, and you offer each spot from one list per class.
  • Swap the class to another coach from the schedule, then text the day's roster to everyone on it.

At Learn to Swim Victoria, families used to queue to renew each term. Now enrolments roll over with automatic notices, assessments are shared with parents from the pool deck, and open class times go through a fair wait list.

Your gym's term in four steps

From the first kindy gym class of term to the day a gymnast moves up a level.

  1. 01

    Set up levels and classes

Add your levels, from kindy gym through rec to squads. Each class gets its level, capacity, coach and area of the gym, so it fills to your ratio and stops there.

  2. 02

    Brand your parent dashboard

Put your logo, club colour and a photo of the gym on the parent dashboard, and choose what parents see first, such as classes or holiday programs. Then open the term's enrolments.

  3. 03

    Coach and mark the roll

Each coach pulls up today's classes on their phone, marks who's there and adds notes as they go. If a coach is off sick, hand their classes to someone else from the schedule.

  4. 04

    Rate each gymnast's skills

In assessment week, coaches open each gymnast, click a rating for every skill and add a quick comment. Save it to their record, then move up anyone who's ready.

What is a gymnastics club management system?

It's where a gym runs classes by level, waitlists, make-ups, assessments, fees and coach rosters, instead of across spreadsheets and clipboards. Intrac is a class & facility management system for sports facilities, schools and academies, and it can be set up for kindy gym, rec classes, squads, holiday programs and parties.

Can I cap each class and keep a waitlist?

Yes. Each class has its own capacity, set to suit your coach ratios, and closes once it's full. Parents then join the watch list online, and you offer the spot when one opens.

How do make-ups work?

They follow your rules on notice, how many each term and any blackout days. Parents record the absence in their dashboard, then pick a make-up from classes that still have room.

Can coaches record assessments and move gymnasts up a level?

Yes. Coaches record each skill and a comment in a few taps, then promote the ones who are ready. Parents download certificates or reports, and the new level sets which classes they can book.

Can coaches mark the roll from the floor?

Yes. Each coach gets a portal on their phone with their roster, classes and pay. They mark gymnasts present, absent or no show and add notes during the class.

Can rec, squad and party coaching be paid at different rates?

Yes. Rec classes, squad sessions and parties can each carry their own task-based pay rate, and payroll is worked out from the roster in Intrac.

Can parents book birthday parties and holiday programs online?

Yes. Parties and holiday programs sit beside term classes, so parents pick a date, add any extras you offer and pay in the same checkout.

What does a gymnastics club pay for Intrac?

Plans for a gymnastics club start at 1.95% of monthly revenue, plus GST, with $495 as the monthly minimum. Ongoing support, upgrades and changes come with it, and there's nothing to pay for setup and no contract locking you in.
